  • 1.0 How do I register for Marion Afterschool Programs?

    1.From Marion Afterschool Program’s ELEYO homepage, click

    2.Create profile and sign in to ELEYO account.

    3.Click Register a New Contract

    4.Complete registration including providing emergency contacts, selecting childcare schedule, agreeing to MAP policies and answering registration questions.

    5. You will receive an email that your contract has been received. ALL CONTRACTS ARE PENDING UNTIL APPROVED BY MAP ADMIN OFFICE. You will receive another email once your contract has been approved. 

  • 1.1: How much does MAP cost?

  • 1.2: Is tuition assistance available for MAP?

    Marion Afterschool Programs offers a reduced rate for qualifying families. If approved, the parent’s reduced rate will be $38 per child/ per week. This fee covers attendance for the AM and PM programs.

  • 1.3 Are credits given for illness or absences?

    All fees are designated as “FLAT RATE FEES” meaning a single-fixed fee charged weekly for service regardless of usage.

    Example… If your child is out ill for a week, you are still required to pay the flat rate fee to hold his/her spot.

  • 1.4: How does billing work for MAP?

    MAP is a pay-in-advance program. Only students whose weekly fees have been fully paid in advance may attend. Accounts are billed weekly. Childcare accounts will be invoiced by 3:00PM on Wednesday of each week for the following week, at which point payments can be submitted via your MAP dashboard.

  • 1.5: How do I make a payment for MAP?

    There are many ways to submit payments for MAP’s weekly fees:

    1. Automatic payments: If you are enrolled in automatic payments, your saved payment method will be charged on Friday morning of the week prior to attendance week.
    2. Manual payments: CLICK HERE to sign in to your MAP dashboard and click Pay under Latest Invoice.
    3. Quick Pay: CLICK HERE to submit a payment via Quick Pay. Any payer with an MAP ELEYO account may use your child's childcare account number to submit a Quick Pay payment. They do not need to be associated with your child's account, making this a convenient option for others who would like to contribute to childcare fees.
  • 1.6: How do I update the saved payment method used for MAP automatic payments?

    CLICK HERE to view or modify the saved payment method(s) associated with your MAP ELEYO account.

    To add a payment method:

    1. Navigate to your program's Eleyo site and click Sign In or Your Account.

    Your Dashboard is displayed.

    2. Scroll down to the footer of the page and click Saved Payment Methods.

    The Saved Payment Methods screen is displayed.

    3. Click Add Saved Payment Method.

    The Add New Payment Method screen is displayed.

    4. Select your desired payment type.

    5. Complete all required fields.

    All fields marked with an asterisk are required.

    6. Optionally, if you have enrolled for courses or care, you can select to use this payment method for automatic payment of those contracts.

    7. Click Save New Payment Method.

    The payment method is saved to your account.

    Once you have saved a payment method, you can use the "Saved Payment Methods" screen to modify or remove your payment methods.

    Clicking Remove will prompt you to confirm that you would like to remove the payment method.

    Clicking Modify will allow you to modify which courses or care are billed to that payment method.

    Note: If you need to update credit card information or bank routing details, you need to remove the current payment method and enter the information as a new payment method.

  • 1.7: How do I opt out of automatic payments?

    CLICK HERE to view and modify saved payment methods associated with MAP ELEYO account. To opt out of MAP automatic payments, click Modify and un-check the box for Automatic Payments for MAP. NOTE: If you opt out of automatic payments, you will be responsible for logging in each week and submitting payments manually. Manual payments can be submitted after the week's invoice is created by the MAP admin office (by 3:00pm on Wednesday of the week prior to attendance). Manual payments are due by 11:59pm on Sunday of the week before scheduled attendance.

  • 1.8: How do we set up a dual household account?

    Once you've created your childcare account, additional account holders may be added to the account by request. This is a convenient option for dual household families. Each account holder will have their own password to access the account. Both account holders may enroll in automatic payments for weekly fees.

    To add an additional account holder, the added person needs to:

    1.Create an account at this LINK.

    2.They will receive an email to verify their email. Click "Verify Your Email."

    3.Verify that that you can log in successfully into Eleyo.

    4.If interested in automatic payments, a payment method will need to be added to the saved payment methods in Eleyo. After logging in, click Saved Payment Methods at the bottom of the MAP ELEYO homepage to add a payment method to the account.

    BOTH account holders must email the MAP admin office at MAP@marion.k12.fl.us and agree to the shared account. If you are both interested in automatic payments, also include in the email your payment arrangement (50/50, 60/40, etc.). Once confirmation from both parents is received, the MAP admin office will set up the childcare account for dual household management. 

  • 1.9: How do I get copies of my invoices?

    Parents may view their invoices by logging into their MAP ELEYO account. CLICK HERE log into your MAP ELEYO account.

  • 2.1: Where do I find year-end tax summaries for MAP payments?

    Tax statements for MAP payments made through your childcare account are available each year after January 1. Account owners that have made at least one payment in the system can use the Download Tax Information button from the Account Management tools to obtain a copy of the tax statement report. Payments on the tax statements are categorized by payer.

    Receipts and invoices can be downloaded from the Your History section online. Receipts are only visible to the person that made the specific payment (not by all account owners). 

  • 2.2: How do I change my child's MAP schedule?

    NOTE: Schedule change requests must be requested by the end of the day on Tuesday of each week. Schedule changes will apply to the following week’s invoice. The schedule request may be denied if that schedule is full.

    1.  CLICK HERE to sign in to MAP dashboard

    2.  Under "Your Accounts" select the desired Child Care Account.

    3.  Click Change Schedule

              

    4.  Select the beginning and ending date for the change in schedule.

    5.  Make changes to the selected days as required.

    6.  Click Submit Contract Schedule Changes.

    Your request to change the child care schedule is noted on the contract page and is pending approval from the district. Once the district has approved the change, you will receive an email confirmation and the schedule change will be reflected on the child care contract page. 

  • 2.3 How do I withdraw a contract?

    1. CLICK HERE to sign in to MAP dashboard

    2. Click Withdraw Contract

           

    3.   The Withdraw Contract menu is displayed.

     

    4.   Select the last day of attendance and click Request Withdraw.

    Your request to withdraw from child care is noted on the contract page and is pending approval from the district. Once the district has approved the withdrawal, you will receive an email confirmation and the schedule change will be reflected on the child care contract page.

  • 2.4: What are the MAP hours?

    Hours of Operation

    Based on the Marion County Public Schools Calendar

    Morning Hours: 6:30AM until School Bell

    Afternoon Hours: School Bell until 6:00PM

  • 2.5: Is MAP available at middle schools?

    MAP operates at the following middle schools.

    NOTE:

    MAP at Dunnellon Middle takes place at Dunnellon Elementary. Students are bussed to and from Dunnellon Middle to Dunnellon Elementary.

    MAP at Horizon takes place at Sunrise Elementary. Students are bussed to and from Horizon to Sunrise Elementary.

  • 2.6: What if I am unable to pick up my child by the program closing time?

    Notify your Site Manager as soon as possible. You may contact our main office at 352-671-4135 to be transferred to speak with staff at your child’s MAP site.

    Late Pick-Up Fees will apply.

    A late pick-up fee of $10 is charged for each 15 minutes after 6:00PM which will automatically post to your account when the child is signed out thru our attendance app.

    • 6:01-6:15 = $10.00 per child
    • 6:16-6:30 = $20.00 per child
    • 6:31-6:45 = $30.00 per child
    • 6:46 = Abandoned Child Procedure Initiated. Children who remain on site after 6:46PM will be released into the custody of a law enforcement officer. We reserve the right to dismiss your child from the program after three late pick-ups.
  • 2.7: How do I manage the list of persons authorized to pick up my child?

    CLICK HERE to manage authorized pickups from your MAP ELEYO dashboard.

    In Eleyo, any user account listed as a parent of the child will automatically be listed as an authorized pickup. To add additional family members/relationships as an authorized pickup for your child in Eleyo, use these steps:

    1.Navigate to your program's Eleyo site and click Sign In.
    The Sign In page is displayed.

    2.Sign into your account.
    Your Dashboard is displayed.

    3.Under "Your Accounts" select the desired Child Care Account.

    4.Under "Account Management" click Manage Authorized Pickups.

    5.Click Add Authorized Pickup.

    If you have already created the family member/relationship in Eleyo, click the "Person" drop-down and select them from the list that is presented. Enter or update the person's phone number, then click Save Authorized Pickups.

    If you have not created the family member/relationship, click the "Person" drop-down and select Other. Enter the person's name, phone number, and optionally add a note to describe the person (such as uncle, grandparent, or friend), then click Save Authorized Pickups.

    NOTE: Authorized pickups must be added for each child separately.

    You can remove an authorized person at any time by clicking the red Remove icon and clicking Save Authorized Pickups.

  • 2.8: What are pick-up and drop-off procedures?

    All children must be signed in by an authorized person at the time of arrival in the morning and signed out by a parent or guardian at time of departure from Marion Afterschool Programs. We will not release your child to anyone not listed on your ELEYO account as an authorized pickup. Any person authorized to pick up your child must be on your child’s ELEYO account and must show photo I.D.

  • 2.9: What are the policies for personal belongings and electronic devices?

    Devices, toys and personal electronic items are not permitted in Marion Afterschool Programs in accordance with Marion County Public Schools’ Code of Student Conduct.

  • 3.1: Will my child have a snack at MAP?

    A snack and a drink are provided daily during the afterschool program period.

  • 3.2: What are the policies for volunteers?

    Volunteers are welcome! Volunteers are now allowed back on campus, as many Covid-19 restrictions have been lifted. If you are interested in becoming a volunteer, please call the Administrative Office (352-671-4135) to speak to a Program Specialist. We’d like to know what afterschool site you’re interested in and what you’d like to do as a volunteer. You will be directed to complete the online application to be approved for this school year. You can access this application through our school web site.

  • 3.3: What are MAP’s policies to enroll?

    • Student must be a Marion County Public Schools student.
    • Elementary & select middle schools:  Student must be enrolled in K-8th grade full time.
    • Starting 23/24 School Year:  Fordham Early Learning Academy:  Student must be enrolled in PK3, VPK, K, or 1st grade full time.
    • All students must respond positively to a 1:25 ratio and be able to participate in large group activities.
    • Students must be able to selfcare. 
  • 3.4: What are the policies for inclement weather?

    The following policies are in place to ensure the safety of your child(ren) and our staff. Please note that it may be necessary to have back-up care in the event that MAP is closed. In the event that the weather conditions force Marion County Schools to close, MAP sites will be closed. If schools dismiss early, sites will be closed the remainder of the day. In the event that weather conditions worsen or are declared dangerous once students are at MAP, we may be forced to close early. If this occurs, parents or guardians will be called to pick up their students. No refunds will be given for weather-related closures.

  • 3.6: Who do I contact if I have concerns or questions?

    For general questions, please contact the MAP admin office at MAP@marion.k12.fl.us or 352-671-4135. For billing questions, please contact the MAP Auditing Assistant or Secretary at MAP@marion.k12.fl.us or 352-671-4135.  

    If you have a concern about the program, please use the following order to ensure that the concern is addressed:

    1. Site Manager
    2. MAP Program Specialist 
    3. Program Coordinator of Marion Afterschool Programs 
  • 3.7: How do I notify MAP of my child's health and/or special needs?

    You will be able to submit information about your child's health concerns and/or special needs via the question template completed during the application process. If you need to update any of the submitted information after the start of the program, please contact the MAP admin office at map@marion.k12.fl.us.

  • 3.8: What are the policies for medications my child needs during MAP?

    Marion Afterschool Programs only accepts rescue medication such as an Epi Pen and inhalers.

    • A physician must order the medication, prescription or non-prescription.
    • All medications must be in the original pharmacy packaging with proper labeling with student’s name.
    • You must complete an “Authorization for Prescribed Medication” form for each medication your child is to receive at Marion Afterschool Programs. 
  • 3.9: How does MAP manage food allergies?

    You will be able to submit information about your child’s food allergies via the question template completed during the application process. You may also communicate with the MAP Site Manager on any food allergies your student may have. We will assist the cafeteria manager in securing a snack that will meet your student’s needs.

  • 4.1: What are the policies for illness or injuries?

    • If your child arrives at MAP feeling sick, you and/or your designee will be notified to pick-up the child.
    • Should an accident occur while your child is attending Marion Afterschool Programs, you will receive verbal notification. We require five (5) working days’ notice should parents request a copy of an accident report.
    • In the event of a medical emergency, the parent or guardian will be notified immediately. Your specific instructions regarding action to be taken will be followed. If the parent cannot be reached, Marion Afterschool Programs personnel will take appropriate action. The action on the part of the program personnel does not obligate the personnel or the school to assume financial responsibility of treatment for your child. 
  • 4.2: Why have I been placed on the waiting list for aftercare?

    If you’ve been placed on a waiting list for aftercare, it’s because your school’s site has filled up all their allotted spaces.

  • 4.3: How long will I be on the waiting list?

    This is dependent on the site you are interested in applying for and how far down you are on the waiting list. You will not be removed from the waiting list prior to school starting. Registered students have the first two weeks of school to utilize their registration fee; therefore, we will not remove any students from the waiting list before the third week of school. Contracts will continue in the pending status until a spot becomes available for the current school year.

  • 4.4: What are the chances of my student being called off the waiting list?

    We are often able to move people off the wait list after the first two weeks of school. However, some schools are consistently full. If you are on the waiting list at one of our popular sites, you may end up waiting much longer than two weeks. Your Site Manager or Admin office will be able to tell you if you are on the list for a popular site.

  • 4.5: What should I do to make sure my student is not overlooked when students are being removed from the waiting list?

    Admin will review pending contracts on Tuesdays of each week. Be sure your payment method on your account is correct. If the provided payment method fails during the approval process, the contract will not be approved. The contract will remain in the pending status and the approver will move on to the next pending contract. Admin will not notify the parent of the failed payment method. It is the parent’s responsibility to ensure funds are available during the approval process.  

    After the third failed attempt at approving the pending contract, the contract will be removed. If the parent still needs a spot for Marion Afterschool Programs, he/she may submit a new contract.

  • 4.6: Who should I contact to follow up on the status of the waiting list?

    Contact the MAP admin office at 352-671-4135 or email at map@marion.k12.fl.us.

  • 4.7: I need aftercare for my student starting week 1. What are my options?

    You can choose to enroll your student in another after care program. Contact your school to request a list of local afterschool childcare facilities that pick up from your particular school.

  • 4.8: I work for Marion County Public Schools. What are my options?

    You will be able to supply this information via the questions template completed during the application process. The Admin office will take this into consideration when reviewing pending contracts to be placed on the waiting list.

  • 4.9: I no longer need a spot for MAP. How do I remove my pending contract?

    Registration Fees are non-refundable.  It is the parent's responsibility to remove a pending contract if a spot is no longer needed in MAP.

    3. You will receive an email indicating that your request to withdraw contract has been received.

  • 5.0: My student changed schools. How do I request a transfer to another MAP site?

    Click here to complete the transfer request form for each student.

    Once received, the MAP administrative office will send an e-mail to the account owner confirming the transfer request. Transfer requests will be completed once we receive a response from the account owner confirming the request.

    NOTE: Transfer requests can take up to one to two business days after confirmation has been received.
